Why automate meeting reminder emails?

Automated meeting reminder emails are ideal for business and professional meetings where a subtle, non-intrusive reminder is preferred. Because meetings are typically scheduled and managed through email in the first place, email reminders feel natural, familiar, and easy to act on.

Timelier sends automated meeting reminder emails based on your calendar events, with flexible rules that ensure the right reminders go out for the right meetings at the right times. Unlike built-in Google or Outlook reminders—which are typically all-or-nothing—Timelier lets you customize the content and timing of the reminder based on details of the event.

While calendar invites are helpful, they’re often ignored or buried. Automated reminder emails reinforce key details and reduce missed or late meetings. With automated email reminders through Timelier, you can:

How Timelier Reminder Emails Work

Timelier monitors your connected calendar and sends reminder emails to you and/or your guests automatically based on your rules.

Features include:

  • Custom reminder timing (e.g., 24 hours before, 15 minutes before, or whatever meets your needs).
  • Personalized message content using appointment details.
  • Emails sent directly from your Outlook or Google account, so your guests are more likely to read them.
  • Control which attendees get reminders based on how they responded to the invitation.

Example: 1-day and 15-minute reminders for Zoom calls

Example reminder rule in Timelier.com

This rule monitors the [email protected] Outlook calendar for meetings that have “Sally” in the subject and have a Zoom meeting link in the description. (These are just examples — your rule could look for any words you use in your events.)

It then triggers two email reminders from Sally’s address to the attendees of the meeting.  The first is sent 1 day before the meeting and the second is sent 15 minutes before the meeting.

In terms of which attendees are emailed, the rule can be configured to email all attendees or email the attendees based on their response status. For example, it can email attendees that have accepted or that have not responded and skip attendees that have declined.

The reminder message itself can include the zoom link so that it is easy to find when it is time for the meeting.

Example: Reminders for early Teams meetings

John needs extra help remembering when he has early Teams meetings. This rule monitors the [email protected] Google calendar for events that start before 9AM and that have a Teams meeting link in the event details.

This rule sends John one reminder email 12 hours before the meeting and another reminder email 15 minutest before the meeting.

The rule is also setup to include the Teams meeting link in the reminder message so that it is easy to find when he is scrambling to get out bed and make his early meeting.
